What we see

Where association IT actually breaks

These problems live in the seams between the AMS, the email platform, the website, and your staff. No single vendor will fix them.

Your member portal is five tools, not one.

The AMS, the email platform, the learning portal, event registration, and payments never quite agree on who is a member.

Your AMS runs on rules nobody wrote down.

Fonteva, iMIS, YourMembership, or NetForum runs on settings someone built four years ago and never documented.

Member data cleanup is always someone else's job.

Duplicate records, stale dues status, and lapsed members still getting emails. The database drifts every month.

Board reporting eats a whole week.

Three systems, two spreadsheets, and one staffer pulling it together by hand the night before the board meeting.

Your annual conference becomes an IT fire drill.

Registration kiosks, badge printers, peak WiFi, and AV vendors. Plus a week of scrambling to get it all ready.

On top of the partnership

AI agents for the member experience

Routine member questions, certification reminders, and lapsed-member outreach. Drafted by an AI agent, reviewed by your staff.

Member Services Agent

Answers routine member questions about dues status, certification renewal, the member directory, and event registration. Anything outside the playbook goes straight to your staff.

Typical impact

40-60% of inbound member email

Member Concierge Agent

Handles personal outreach. It re-engages lapsed members, sends certification reminders, and drafts conference-season notes. Every draft goes to staff for review before it sends.

Typical impact

Replaces 8-12 hours/week of manual outreach

The Wellforce AI Practice deploys these agents on top of the IT Partnership. Pricing is scoped per use case. See pricing or the AI Practice overview.

Questions

About IT for associations

How is this different from your /industries/nonprofits page?
Both serve mission-driven organizations, but the way they run is different. Nonprofits are usually 501(c)(3) program organizations with donors, grants, and program staff. Trade associations are dues-funded member organizations whose main product is the member experience. That means the AMS, the portal, and the events. The technology and the board rhythm are different enough that the playbook is different too.
Which AMS systems do you support?
The platforms we see most often are Salesforce-based systems like Fonteva and Nimble AMS, plus iMIS, YourMembership, NetForum, MemberClicks, and Wild Apricot. Systems administration covers user management, integration health, Microsoft 365 and Google sync, and ongoing setting changes. We do not replace your AMS vendor. We run the day-to-day discipline around it so it stays clean.
Can the partnership cover our chapter network?
Yes. Many associations have national staff plus volunteer chapter leaders who need IT access to the AMS, the member portal, and chapter resources. We scope the partnership to cover your staff, your named chapter administrators, and the shared IT setup behind them.
Do you handle our annual conference?
Yes. Conference IT readiness is a set runbook in our playbook. We pre-stage registration kiosks, set up badge printers, engineer the WiFi for peak crowds, coordinate AV vendors, and put a Wellforce person on site for the keynote and the trade show floor. We start the prep 60 days out.
How does the AI agent layer work for an association?
The Member Services and Member Concierge agents come from the Wellforce AI Practice and sit on top of your IT Partnership. They are scoped to specific member-experience jobs like inquiries, renewals, and outreach drafts. They connect to your AMS, your CRM, and your email platform. Your staff stays in control. The agents propose, and humans confirm.
How is pricing structured?
The IT Partnership runs $150 to $250 per staff user per month, based on your size and complexity. AI agent deployments are quoted per use case, usually $3,000 to $10,000 per month plus onboarding. Compliance and project work are scoped on their own. See /pricing for the full bands.
