What we see

Where association IT actually breaks.

The problems no AMS vendor will fix because they live in the seams between the AMS, the email platform, the website, and the staff.

  • The member portal is five tools, not one stack.

AMS, email platform, learning portal, event registration, payments — none of them quite agree on member status.

  • AMS configuration is tribal knowledge.

Fonteva / iMIS / YourMembership / NetForum runs on rules someone wrote four years ago and never documented.

  • Member data hygiene is somebody-else's-job.

Duplicate records, stale dues status, lapsed members still receiving emails, the database drifts month by month.

  • Board reporting takes a week.

Three systems, two spreadsheets, one staffer pulling it together by hand the night before the board meeting.

  • The annual conference is an IT fire drill.

Registration kiosks, badge printers, peak-event WiFi, AV vendor coordination — and a week of scrambling beforehand.

On top of the partnership

AI agents for the member experience.

Routine member inquiries, certification reminders, lapsed-member outreach — drafted by an AI agent, reviewed by your staff.

AI Agent

Member Services Agent

Deflects routine member inquiries — dues status, certification renewal, member directory, event registration. Hand-off to staff for anything outside the playbook.

Typical impact

40–60% of inbound member email

AI Agent

Member Concierge Agent

Personalized outreach: lapsed-member re-engagement, certification reminders, conference-season comms. Drafts go to staff for review before send.

Typical impact

Replaces 8–12 hours/week of manual outreach

Wellforce AI Practice deploys agents on top of the IT Partnership. Pricing scoped per use case; see pricing or the AI Practice overview.

Questions

About IT for associations

How is this different from your /industries/nonprofits page?

Both serve mission-driven organizations, but the operating model is different. Nonprofits are typically 501(c)(3) program organizations with donors, grants, and program staff. Trade associations are dues-funded member organizations whose primary product is the member experience — the AMS, the portal, the events. The technology stack and the board cadence are different enough that the playbook is different.

Which AMS systems do you support?

The platforms we see most often: Salesforce-based AMS (Fonteva, Nimble AMS), iMIS, YourMembership, NetForum, MemberClicks, Wild Apricot. Systems administration covers user management, integration health, M365/Google sync, and ongoing configuration changes. We don't replace your AMS vendor — we operate the configuration discipline around it.

Can the partnership cover our chapter network?

Yes. Many associations have a national staff plus volunteer chapter leaders who need IT access — to the AMS, to a member portal, to chapter-specific resources. We scope the partnership to cover staff + named chapter administrators + the shared IT infrastructure.

Do you handle our annual conference?

Yes — conference IT readiness is a defined runbook in our playbook. Registration kiosk pre-stage, badge printer setup, peak-event WiFi engineering, AV vendor coordination, on-site Wellforce presence for the keynote and the trade show floor. We start the prep 60 days out.

How does the AI agent layer work for an association?

Member Services and Member Concierge AI agents are deployed via the Wellforce AI Practice, sitting on top of the IT Partnership. They are scoped to specific member-experience use cases (inquiries, renewals, outreach drafts) and connect to your AMS, your CRM, and your email platform. Staff stays in the loop — agents propose, humans confirm.

How is pricing structured?

IT Partnership: $150–$250 per staff user per month, depending on size and complexity. AI agent deployments are quoted per use case (typically $3,000–$10,000/mo plus onboarding). Compliance and project work scoped separately. See /pricing for full bands.
