Wellforce
AI Practice — Operations

AI operated like infrastructure.

Backbone is for IT decision-makers and CFOs who want AI inside the operating environment — running, monitored, license-rightsized, and getting better every quarter. The same operational discipline we bring to IT, applied to your AI stack.

Who it's for

Backbone fits if any of these are true.

And if any of the anti-fit signals on the right describe you, we'll point you to the better doorway — including the other Wellforce products.

Right for you
  • You're an IT director, head of IT, or CFO who needs AI to be operational, not experimental.

  • You have AI tools in production (Copilot, ChatGPT Enterprise, custom agents) and no one is operating them.

  • You want license rightsizing and usage metrics, not vendor pitches.

  • You want help-desk and IT processes that quietly use AI to be faster, without a re-org.

Not the right doorway
  • You don't have AI tools deployed yet. Compass or Cultivate is the right doorway.

  • You want hands-on training and adoption work — that's Cultivate.

  • You're looking for an AI policy and a board narrative — that's Compass.

  • You want raw consulting hours, not productized operations. We don't sell Backbone that way.

What's in the box

Inside Backbone

Productized, scoped, and operated. Every line item below is a deliverable, not a brochure bullet.

  • AI license + tenant management

    Ongoing

Microsoft 365 Copilot, ChatGPT Enterprise, Anthropic, Gemini — managed in one place with rightsizing reviewed monthly.

  • Identity + access for AI

    Ongoing

Role-scoped access, MCP token management, conditional access for agent surfaces, audit trails on every prompt-with-tools action.

  • Agent runtime monitoring

    Ongoing

Uptime, error rate, cost per interaction, drift detection on every productized agent in your tenant.

  • AI-augmented help desk

    Ongoing

Wellforce help desk uses AI internally to resolve faster — your tickets benefit without your team retraining.

  • AI cost + usage reporting

    Monthly

Monthly report: who used what, cost per team, projected annual run-rate, recommended cuts. CFO-ready.

  • Vendor + integration management

    Ongoing

New AI integration requests handled by us — vendor risk review, identity setup, observability before go-live.

  • Quarterly tune-up

    Quarterly

Every quarter we tune your most-used agents — better prompts, better data, better cost profile. Continuous improvement is the deal.

  • Incident response for AI

    Ongoing

Defined runbook for AI-specific incidents — data leak, prompt injection, agent failure. The first 60 minutes are scripted.

What you get on day 30 / 60 / 90

Concrete deliverables, not vague phases.

The first 90 days have named outputs. If we miss them, you know it — that's the point of writing them down.

  1. Day 30

    Inventory + baseline live

Full inventory of AI licenses, agents, integrations. Identity and access posture assessed. Baseline cost and usage report delivered.

  2. Day 60

    Operations cadence active

Monitoring on every productized agent. Monthly cost-and-usage report flowing. AI-augmented help desk live. License rightsizing recommendations actioned.

  3. Day 90

    First quarterly tune-up

First quarterly tune-up complete on top three agents. IR runbook tabletopped. Trend report shows measurable improvement on cost or quality.

The team

Named humans. Same humans next quarter.

Continuity is not a feature; it's the whole point of a productized engagement.

  • AI Operations Lead

Owns the cadence — the monthly reports, the quarterly tune-ups, the integration intake.

  • IT Operations

Wellforce IT Partnership pillars (help desk, systems admin) running the day-to-day with AI augmentation built in.

  • AI Engineer (on-call)

On-call for new integrations, incident response, and quarterly tune-ups.

Questions

About Backbone

Do I need the IT Partnership to buy Backbone?

No, but most Backbone clients are also on the partnership — operating AI without operating IT generally creates more problems than it solves. We sell Backbone standalone for orgs with strong internal IT or another MSP.

How is this different from buying Microsoft 365 Copilot licenses?

Buying licenses is procurement. Backbone is operations: rightsizing, monitoring, audit trails, identity, incident response, and quarterly tuning. The license is the engine; Backbone is the maintenance, the dashboard, and the driver's manual.

Will Backbone build new agents?

Light tuning and integration work is in scope. Net-new agent build-outs are a Cultivate engagement — they're sprint work, not operations work. We coordinate so the handoff between build and operate is clean.

What does "AI-augmented help desk" actually mean?

Our help desk uses AI tools internally — pattern recognition on tickets, runbook suggestion, draft responses for technicians to approve. Your team sees faster resolution; nothing changes in how they file tickets.

How do you handle BAA / data residency for nonprofits and regulated verticals?

BAAs in place with Microsoft and our core platforms. We honor data residency and tenant isolation requirements; we will not move client data into a vendor that doesn't meet your framework. The vCIO and Compass governance loop are involved when this matters.

Can Backbone replace our IT team?

It can complement an internal IT team or replace one — same as the IT Partnership. The decision pattern is the same: small org, no internal IT → we run it; larger org, strong internal team → we augment them on the AI side.
